Record Description

Records of policy-setting committees, councils, task forces, and other deliberative or governance bodies (other than the Board of Trustees, Faculty Senate, and Associated Students Board of Directors). May apply to bodies at the university, division, college, or departmental level. Typical records include charge/statement of authority, meeting agendas and minutes, and reports or other mandated output. 

Does not apply to records of adjudicative bodies, curriculum committees, or records of search committees, for which separate schedules apply, and does not apply to informal, non-reporting groups. 

Records may include, but are not limited to: 

  • Agendas, meeting/agenda packets (briefs, reference materials, etc.); 
  • Speaker sign-up, written testimony; 
  • Audio/visual recordings and transcripts of proceedings; 
  • Minutes; 
  • Reports/correspondence/communications sent/received on behalf of the body; 
  • Orders, resolutions, etc.; 
  • Appointment, reappointment, and termination correspondence/communications; 
  • Selected images/photographs showing the body membership at particular points in time (such as board portraits, etc.) and/or significant stages of the body’s life. 

Excludes records covered by: 

  • Advisory Body Records (DAN GS 10015); 
  • Meeting Arrangements (DAN GS 09024); 
  • Meeting Materials – Members’ Copies/Notes (DAN GS 09026).

Retention Requirement

Retain for 6 years after calendar year

Disposition after Retention

Transfer to University Archives for historical appraisal and selective retention as an archival record
